This policy explains what WEAF Company Uganda Limited ("we") does with information you give us when you use Weafbooks. It applies to the Weafbooks website and to the Weafbooks application, including the mobile app.
What we collect
Two different things, and it is worth keeping them apart.
Account information
The details you give us to open and run an account: your name, business name, email address, telephone number, country, branch and warehouse names, and the payment details needed to bill a subscription. We also record login times, IP address, device and browser, because an accounting system has to be able to show who did what.
Your business data
Everything you enter into the system: customers, suppliers, staff, products, stock, prices, invoices, payments, expenses, payroll and the accounting entries that follow from them. This is your data. We store and process it so that we can provide the service to you, and for no other purpose.
How we use it
- To provide the service, including generating your reports, statements and fiscal receipts.
- To bill your subscription and any add-ons you have enabled.
- To support you when you ask us for help, which may involve looking at the records you are asking about.
- To keep the service secure, to investigate abuse, and to keep the audit trail the product is expected to keep.
- To tell you about changes to the service. We will not send you marketing you did not ask for.
Who else sees it
We do not sell your data and we do not share it for advertising. We share it only:
- With the revenue authority, where you have enabled a tax integration. If you use EFRIS, invoice and stock data is transmitted to the Uganda Revenue Authority; if you use MRA, to the Malawi Revenue Authority. This is the point of the feature and it happens only for the documents you fiscalise.
- With a service you connect yourself, such as QuickBooks Online. Nothing is sent until you authorise the connection, and you can disconnect it at any time.
- With our infrastructure and payment providers, who host the servers and process subscription payments on our instructions.
- Where the law requires it, on a valid legal demand.
Where it is kept, and for how long
Data is held on servers we control, with a replica maintained for disaster recovery. Backups are retained so that an accidental deletion can be recovered. We keep your business data for as long as your account is open. If you close your account, we keep it for a limited period so that you can ask for an export, and then delete it â except where we are required to retain records for tax or legal reasons.
Security
Access is controlled by role and permission, credentials and integration tokens are stored encrypted, connections are served over HTTPS, and administrative actions are logged. No system is perfect; if a breach affects your data we will tell you.
Your rights
You can ask us for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Most of it you can see and change yourself inside the application. For anything else, write to [email protected].
Cookies
We use cookies and similar browser storage to keep you signed in, remember your interface preferences, and understand which pages of the marketing site are useful. We do not use them to track you across other websites.
Changes
If we change this policy in a way that matters, we will say so in the application before the change takes effect.
